What is a School management software

A school Management software is a collection of features specially designed to manage the day-to-day administrative tasks of an education organization. School management software allows schools to digitally manage and monitor daily activities while managing all the resources and information centrally.

Odoo is a powerful modular-based ERP solution capable of handling many features across multiple industries, including the education sector. This articles is one of the Odoo School ERP series.

This article will guide you on creating courses and batches in the Odoo ERP system.

What is Course Management

The subjects are a core area of any school or a course. A Subject is one unit of study which you enrol in as part of your course. A school manages different courses for different programs of studies. In an educational institution or University, a Course maybe the degree or diploma program in which you are admitted. Each Course may considered as a Grade / Class which a student will be admitted. For example, Grade 5 Course in a school.

Every class or course has subjects. Faculties teach these Subjects and, are assigned to a specific Course and, a Batch.

The details managed by a Course.

Name. A course requires a meaningful name. For example, Piano Training for Kids.

Code. A shortcode for the course is defined with a predefined pattern.

Section. Can be named meaningfully as “Upper Reception”, “Lower Reception”, “Primary”, “Secondary”, etc to segregate the Course into a group.

Evaluation Type. This can be the type of evaluation used in the course. For Example Normal, GPA, etc.

Fees Term. This will define how a payment is made for the course.

Parent Course. Create a new parent course for the course or Select from the list.

Minimum Unit Load. Set Maximum unit load for whole course.

Maximum Unit Load. Set Minimum unit load for whole course.

Subjects. A List of subjects assigned to a specific course.

Information! It is a best practice to follow a standard coding system to keep consistent definitions. A code also helps to easily identify the Course.

Step by step guide to creating a Course

The following steps will guide you on how to create a subject in the Odoo ERP system.

Go to the ERP Core module > Configuration menu > Courses, under the Course Management section.

You will see all the courses if the courses already exist. Otherwise, a blank screen is shown.

Click on the Create button to start creating a new Course.

Enter a suitable name for the Course.

Now, enter the code.

Enter the Section or leave it blank for now.

Select the Evaluation type from the drop-down list.

Select the Fees Term from the drop-down list.

Select a Parent Course or leave it blank for now.

Enter minimum and maximum unit loads or leave it blank if you don’t need to control.

Select “add a line” under Subjects section to assign Subjects to the course.

Now click on the Save button.

See the logs on the right, it writes all major transaction details as a record. you also can add your own log notes.

Click on Courses to go back to the previous screen. You can see the newly created course on the list.

Searching & Filtering Courses

This is similar to Subject search and search in Odoo School ERP across all interfaces are identifical. If you cannot see a record, type the search term, for example “piano” in the search bar and press the enter key.

The system will search and filter your records.

Editing Course details

If you want to edit the record, just click on it to open. Then click on the Edit button.

Make any changes and click on the Save button again to save the changes.

Click on Courses to go back to the previous screen. You can see the updated Course details on the bottom.
