Have you ever wondered whether you can ‘Unsend’ or ‘Undo’ an email already sent? Maybe you have sent an email to a wrong recipient, or you have replied instead of forwarding to someone else by mistake {with bad comments, oops} or you found an error in the last moment or anything that you need to reverse your actions and you wish that email was never sent that way.
Well, you have an option to ‘undo’ email messages you sent using Microsoft Outlook. Let’s find out how it works. Microsoft Outlook uses the ‘Recall This Message’ feature. This feature allows you to recall, replace, or even delete messages that you have sent.
Pre-requisites
- Microsoft Outlook 2000 Standard Edition or above
- Message recall feature will not work if one or more of the following conditions are found true.
- The recipient is not using Outlook.
- The recipient is not logged on to the mail service provider.
- The recipient is using Cached Exchange Mode and is working offline.
- The original message is moved from the Inbox. This can occur when rules are used.
- The original message is opened first and marked as read. This can occur when the message is displayed in the Preview Pane or Reading Pane.
Steps to recall, replace or Delete an email.
- Go to the ‘Sent Items’ folder.
- Open the message that you want to recall or replace.
- Click File / or Actions (depending on the Outlook version) on the ribbon or menu, and then click the ‘Recall This Message’ button as in figure 01 below.
- You will be prompted with the following options as in figure 02.
- Enable the Delete unread copies of this message option to recall the message. Or,
- Enable the Delete unread copies and replace with a new message to replace the message with a new one. To receive a notification about the success of the recall or replacement, enable the Tell me if recall succeeds or fails for each recipient option.
- Click OK. If you choose the Replace option, and you will be given a chance to type your new message.
- Click the ‘Send’ button to send the email.
