My previous post was about setting up Webmail on a desktop computer. This post explores how we can configure to access Webmail through a Mobile app. There are many mobile email apps nowadays for both Android and Apple devices. Among these both Gmail and Outlook email apps are very popular. And both are available for both Android and IOS devices for Free. While Gmail app from Google, Outlook app is from the software giant Microsoft.
What you need to setup webmail on your Mobile
There are a few prerequisites similar to setting up Webmail on a desktop computer. These requirements are:
- A mobile email client app like Gmail or Outlook.
- A Webmail server credentials, incoming / outgoing mail server details, mail authentication details, etc.
Important details about POP and IMAP email setup
- IMAP email access coordinates between the server and your mail application. Messages that have been read/deleted/replied to will show up as such, both on the server and in the mail application.
- POP3 does not coordinate with the server. Messages marked as read/deleted/replied to in the mail application will not show up as such on the server. This means that future mail downloads with POP3 will show all messages as unread.
- Outgoing mail is sent using SMTP.
- We recommend using POP3 over SSL/TLS or IMAP over SSL/TLS since they provide increased security for your interactions with the remote mail server.
What is the best email client?
Gmail is a popular and efficient app for both Android and IOS devices. It is particularly bundled with the Android Operating system. Another efficient email app from Microsoft is called Outlook. Apart from these, there are many popular free and paid email apps for both Android and IOS devices. Here are some examples.
We will explore how we can configure Gmail and Outlook Apps in a mobile.
Requirements to setup email client for Webmail
If you don’t see an auto-configuration script under Webmail control panel for your client, you can still configure using manual settings. A general example for configuration details would be as follows. There are two ways to setup; either using a secure SSL/TLS connection or using a Non SSL setting (not recommended).
Secure SSL/TLS Settings (Recommended)
This is only an example and you need to refer to the Webmail control panel or the hosting provider for actual details.
Non-SSL Settings (NOT Recommended)
Again, this is only an example and you need to refer to the Webmail control panel or the hosting provider for actual details.
Mail Client Automatic Configuration Scripts for Webmail
When you access an email account through an email application such as “iOS for iPhone/iPad/iPod and MacOS® Mail.app®”, the email application will require specific information about your email account. You can use the auto-configure options to attempt to automatically configure your email application.
Almost all Webmail solutions provide an automatic configuration script to setup email clients faster and automatically without a much hasle. You can check this in your Control panel or request your hosting provider.
If the available options are not compatible with your application, you will need to use the Manual Settings information (Refer to Secure SSL / Non SSL Settings).
Webmail configuration for Gmail app
Add a new email Account
- Open the Gmail app and navigate to the Settings section.
- Tap Add account.
- Tap Personal (IMAP/POP) and then Next.
- Enter your full email address and tap Next.
- Choose the type of email account you will be using.
- POP3 will download the emails from the server and store them on your phone.
- IMAP will store the emails on the server and show a cached copy on your phone. IMAP is best in most cases.
- Exchange is not supported because it requires a Microsoft Exchange server
- Enter the password for your email address and tap Next.
Incoming Mail Server Settings
- Username: Enter your full email address
- Password: Enter the password for your email account
- Server: This is your domain name preceded by “mail.” like mail.example.com.
- Port and Security Type:
- If you’re using POP, choose either:
- Secure – Port: 995 and Security Type: SSL/TLS (Accept all certificates)
- Insecure – Port: 110 and Security Type: None
- If you’re using IMAP, choose either:
- Secure – Port: 993 and Security Type: SSL/TLS (Accept all certificates)
- Insecure – Port: 143 and Security Type: None (Accept all certificates)
- If you’re using POP, choose either:
- Once the settings are entered, tap Next.
Outgoing Mail Server Settings
- Select Require Sign-In.
- Username: Enter your full email address
- Password: Enter the password for your email account
- Server: This is your domain name preceded by “mail.” like mail.example.com.
- For SMTP Port and Security Type, choose either:
- Secure – Port: 465 and Security Type: SSL/TLS (Accept all certificates)
- Insecure – Port: 587 and Security Type: None (Accept all certificates)
- Once the settings are entered, tap Next.
Account Options for Gmail app setup
- Email Checking Frequency: Set how often you would like your device to check for new emails.
Note: The more regularly your device checks for new emails the more it drains your battery. - Notify me when email arrives: Leave this checked if you would like to be notified of new emails.
- Sync email from this account: Leave this checked if you want email to be checked automatically.
- Tap Next.
Webmail configuration for Outlook app
- Open the Outlook app and navigate to the Settings section.
- Tap Add account and select Add an email account option. The following screen will appear.
- Enter your full email address and tap Continue.
- When the following screen appears, select “Setup Manually”.
- The following screen will appear. Select IMAP option under Advance.
- The following screen appears to enter IMAP Incoming Mail Server settings and SMTP Outgoing Mail Server options.
- Enter info.yamahaschool.lk as IMAP user name and email password as IMAP Password.
- Do the same for SMTP user name and SMTP password.
- Tap the a sign on the top right.
- If an errors appears, slide left to off Advance setting and Tap the a sign on the top right.
- You will be directed to the same screen under step 5 above.
- Tap on top left to go back to the previous screen, you will see the email name under Accounts.
- Tap the a sign on the top right to go back one more screen, you will see your Inbox for the new email account.
